Shipping Security

Shipping

Security is a major concern in a jewelry store because of the high value of small items. Shipping plays an important part in security as many valuable items are received by or shipped by this department. Written records must be kept of all items that are shipped out or received so that they can be accounted for and losses prevented.

For incoming packages:

All items received must be entered in a log indicating:

  • When it arrived
  • Who sent the package to us
  • To whom it is addressed
  • Full description, model number, etc. of the item(s) received
  • Invoice or packing slip number
  1. Inspect boxes for evidence of tampering in front of the delivery person; otherwise the delivery service may not pay the claim if something is found missing later. The delivery person may become impatient but don’t let this distract from your inspection.
    • If tampering is suspected, open the box in front of the delivery person and in camera view, and verify the contents and condition of the item. If anything is missing or damaged, or if the box is empty, notify the shipper so they can file a claim for the lost or damaged item.
  2. Packages that did not appear to be damaged or tampered with on receipt must also be opened under the camera so that there is a video record of the box and the item that was inside.
  3. Check the invoice or packing slip against the contents to verify that we received what was sold or shipped to us.

Merchandise coming in should not leave the shipping clerk’s sight until the items are properly transferred to and signed for by inventory. Items can be tracked with this written record and if any go missing, the shipping clerk does not become a suspect.

For outgoing packages:

All items received or shipped out must be entered in a log indicating:

  • When day it is mailed out and by which carrier
  • Which employee is sending it out
  • To whom and to what address it is being shipped
  • Full description, model number, etc. of the item
  • Amount of insurance coverage declared
  1. All items being shipped out must be inserted into the box under the video camera, showing the item and that the box was sealed with the item inside.
  2. The sales invoice must be checked against the actual item to insure that we are shipping what was sold.
  3. Also verify that
    • the name and address on the sales invoice matches the proposed shipping address
    • we are not shipping an empty jewelry or watch box
    • the customer was charged a shipping fee
    • full payment was received for the item

HOW TO WRAP EVERY ITEM OF JEWELRY OR WATCH TO BE SHIPPED:

  • Use boxes for shipping – never envelopes, not even for USPS Express Mail
  • Use only company initials for address and no mention of jewelry or jewelers
  • Always double box and put shipping labels on both boxes
  • Ensure the item being shipped is wrapped securely with sufficient padding, then tape it to the inside of the inner box
  • Use tape liberally:
    • Clear tape on all seams, then paper tamper evident tape over that

ADDITIONAL SECURITY MEASURES:

  • Never put packages in a drop box, always hand to the courier
  • Don’t give out tracking information to someone who calls – call the vendor or customer back using the phone number in our records to provide the tracking number

If any of the above is not as it should be, discreetly bring it to the attention of the Sales Manager, COO, or CFO.
