Repairs, Taking Downtown Procedure

We must keep careful track of repairs being taken to outside jewelers, whether downtown or anywhere else outside of our store.

A log is kept by the Repair Manager detailing what is being taken downtown and where it is being dropped off.

A Jeweler Drop Off form is filled in for each job that is being taken. The form has three copies: the Recipient copy for the jeweler, the Repair copy for the runner to take, and the File copy for the Repair Manager to keep. The Repair Manager completes the Jeweler Drop Off form. The File copy stays here, the other two copies go with the runner to drop off the repairs downtown.

No repair envelopes are to be dumped loosely into handbags. They must be placed into a larger zip top envelope that can then be carried in handbags. If you don’t carry a handbag or yours isn’t large enough to contain the zip top envelope, a larger bag is borrowed from Repair to hold the zip top envelope and your handbag.

Stay alert! No talking on the phone while you are walking anywhere while carrying repairs. Be aware of who is around you and look for anyone who appears to be following you. If you even vaguely suspect that someone might be following you, go into the office of a jeweler that you know and wait for the suspicious person to leave. Do not get into an elevator with someone that you don’t know – wait for the next elevator to arrive.

Stop nowhere on the way down and back. Make sure you have enough gas before you leave. No matter what, do not leave the repair jobs in your car unattended. That will void our insurance coverage.

Who goes?

In 2021 the runners are:

  • Repair Assistant
  • Approved Sales Assistant

No one who has worked here for less than 90 days can take repairs outside the store.

If you have just received bad news or are leaving early that day, please notify the Repair Manager and ask that someone else takes the repairs downtown. Anyone distracted by personal problems or in a rush can easily make mistakes or even lose something.

Get each drop off form signed and dated by the receiving jeweler. Leave the Recipient copy with the jeweler and return the Repair copy to the Repair Manager.

When picking up, bring the Repair copy of the Drop Off form and have the jeweler sign it that you have picked up that repair. Bring the Repair copy back to the Repair Manager.

Upon completion of the downtown run, the runner goes directly to the Repair Manager who verifies which repairs were picked up and returned and which repairs were dropped off. Repairs being returned are not just dropped on the Repair Manager’s desk but are held by the runner until he or she can personally hand to the Repair Manager and check in the jobs. If the Repair Manager is not available, the Watch Repair Manager or the COO can check in the jobs.
