Money is valuable and we need to take good care of it. Div 3 is responsible to safeguard the money until it’s banked or spent, so Div 3 holds the keys to the cash drawer.
- All cash is taken to the Cashier.
- When cash is received from a customer, the salesperson or assistant brings it to the Cashier with the completed invoice. The Cashier will record on the “Cash Received” ledger how much cash is received, how much change is given back, the sales slip number and the name of the person who brought it in. The Cashier will put the cash in the cash drawer and give out the change, using a calculator to verify the amount of change if necessary. If a large amount of money is received from a customer, leave the cash on the sales counter and call the Cashier to come out to the customer and count it there. Never take money away from the counter before it’s counted. Once the money has left the customer’s sight, it’s too late to claim that it’s short.
- All money taken out of the cash drawer will have either a petty cash slip, a sales slip number, or a receipt to account for it.
- Cash draws are only allowed in multiples of $20 as a rule.
- Employees are not allowed to dump their purse and pocket change in the cash drawer.
- The cash drawer is balanced daily in accordance with that hat.
- The keys to the cash box are never left in the box or in a drawer near the box where they could be used without authorization. All staff who have keys will keep them either on their persons or in a secret hiding place.
- Cash is never left unattended! The Cashier never leaves the cash drawer open. If deposits contain cash, they are locked in the safe.
- All $100 bills are locked in the safe until deposited. A ledger of the cash going in and out of the safe is kept by the Treasurer. The cash in the safe is counted weekly when the cash drawer is reconciled. The Founder, the CEO, the VP of Production and the Treasurer are the only ones with the combination to this safe.
