When I am in the store, I would like to greet as many customers as I can. I would also like to send a “thank you” letter to them after I meet/greet them.
So the procedure would be something like this as it will need to be refined as time goes on:
- The customer comes in and is greeted by the receptionist.
- All normal things are done when a person comes in. Nothing changes.
- The new thing is this: Immediately let Leo know that they came in.
- Notify Leo of the name of the person or persons so he can say “Hello” to them.
- After I greet them, make a note with the date in the ALERTS field in BM that says “3/28/24 – Leo met” Or “3/28/24 – Leo greeted again”
- The reason for number 5 is that you can quickly look at the Alerts field while doing 1 and 2 and see if/when I met them last. You would inform me of this when doing number 4. That way I can say, “Good to see you again” if there is a “Leo Alert” that says I already met them, or “It is nice to meet you,” if there is no Leo Alert. Since we are just starting this most will have no Leo Alerts but the Leo Alerts will build up over time.
- We only need to keep the most recent 3 Leo Alerts because after the first “Leo met” one, they will all be “Leo greeted again” ones. Remove the oldest ones and keep only the most recent 3 Leo Alerts.
- On very busy days we may not be able to keep up with this, but we will do our best.
- On slow days, I would like it to happen with 100% of customers coming in.
- The receptionist, time permitting, makes the Leo Alert that I have met or greeted them as soon as they see that it is done.
- VERY IMPORTANT FINAL PART: The receptionist addresses a “Leo Lion Envelope” and puts a sticky note on it with as much info as possible. A couple of excellent examples are attached from Chelsea. Please use the post-it note pads, not random paper and scotch tape like the yellow one. The tape sometimes ruins the envelope.
- VERY IMPORTANT FOR ENGAGEMENT RING CUSTOMERS: Find out when the engagement surprise is planned and put a “safe to mail” date on the sticky note when the letter can be mailed and not ruin the surprise.
On busy days, I may not meet everyone, but we will work together and try. But even on busy days, getting the envelope done AFTER they leave will allow you to write good notes on the sticky note such as what they bought, if they didn’t buy, etc.
