Employees’ Use of Company Credit Cards

Employees in various departments are issued company credit cards in their names. These cards are only to be used for making approved purchases for company goods.

Always inquire whether a vendor charges a fee for paying with a credit card. Never pay a vendor with a credit card if that vendor charges a fee for credit card use. Ask them to bill us instead and we will pay by check.

Some vendors with whom we order frequently such as Stuller will keep a company credit card on file for continuous use.

The company credit cards are held in the names of Robin Hart, CFO and Leo Hamel, Founder. Which cards of Robin’s or Leo’s are used by the company may change periodically. You will be notified if it’s necessary to change the card being used for company purchases to a different card.

Employees are never to use company credit cards for personal purchases, even with the intention of repaying the charge. None of the owners are to charge personal purchases on the credit cards that are in use by the company. It causes dev-t in the Accounting department.

Should a personal purchase be made by accident, Accounting will immediately deduct the amount from that employee or owners’ next paycheck and notify the individual to cease personal use of company credit cards. Under no circumstances shall Accounting allow any employee or owner to continue to charge personal purchases on a company credit card. Should the abuse continue, notify the CFO.

Repeated personal use of company credit cards may be viewed as theft and may be grounds for disciplinary action up to and including termination.
