Weekly Statistics

Each department and employee here produces something vital for the success of the organization. Statistics measure the production of each department and sometimes of each employee in the department. Often an employee in a department will have a number of different statistics that measure his or her production in different areas.

Having statistics is a vital part of managing our organization and ensuring its success. We compare our production for the past week with our production of the previous week(s) and even to the production of previous years to see if it is increasing or decreasing. Are we buying and selling more or buying and selling less? Are we making more or less profit? Are we paying more or fewer bills? Generally, if the answer is, “Less,” then management must formulate immediate plans to remedy the problem and get that department’s production increasing.

The Executives and department heads meet on Friday mornings to review the department stats and formulate action plans for improvement.

Each department head and employee should have his or her stats completed as early as possible on Friday morning. Weekly Sales stats are the responsibility of the Accounting department and must be done in time for the salespeople to print their graphs and meet at 9:00am on Friday. Weekly Accounting and Wholesale stats need to be done in time to review with Execs immediately following the sales stats meeting (around 10:00am). Marketing weekly stats need to be done in time to review with Execs immediately following the wholesale stats meeting (around 10:30-11:00am). The Execs usually go over their own stats following the marketing stats meeting.

There is never any reason to not have complete information for the week in order to update the stats. Each employee and department head is responsible to ensure that he or she gets the information that is needed in order to update the stats, regardless of whether that information comes from another department or person, or whether the employee generates the information. “He didn’t have my data ready” is never an acceptable reason to not have your stats prepared on time. Department heads are responsible to ensure that their direct reports have their stats done on time.

We also do not schedule other meetings, events, training, or appointments on Friday mornings for any of the employees, department heads, and Execs who participate in the stats meetings. The exception would be if something must be done on Friday morning that is absolutely crucial to the safety, success, or aims of the organization, or necessary in order to provide outstanding customer service.

The conference room is used for the stats meetings and so no other use of the conference room may be scheduled between 9:00am and 1:00pm on Fridays.
