When we receive mail / packages in from companies or customers, the Mailroom Shipping Clerk is responsible for making sure all items are received. They will log in each package and open it to ensure all items are accounted for, then route the items to the appropriate department.
If someone else opens a box before the Mailroom Shipping Clerk gets to it and something turns out missing, we cannot be sure if it was ever received. Shipping cannot argue effectively with the shipper who sent us the package unless they are certain the items were not in the box.
No one is to open a package until it is logged in and everything is accounted for. If the Shipping Clerk is out and you are not able to wait any longer for the item, then ask their Supervisor to log it in.
Incoming mail is to be distributed immediately upon receipt. It does not sit in the shipping room for hours or even for one hour.
Packages or letter mail that is addressed to “Leo Hamel” should be opened unless it is addressed to “Leo Hamel – Personal” or “Penelope Hamel.” Mail addressed to “Leo Hamel” is often not for Leo personally but needs to go to someone else, and if it’s left in his mailbox, it could sit in there for days or weeks before that’s discovered.
All companies that we do business with are to address packages and mail to LHFJ and not to “Leo Hamel” or “Leo Hamel Fine Jewelers.” When supplies or merchandise are ordered, the person or department ordering should strive to have their name and/or department name also appear on the order and mailing label.
