Repair Missing Jobs

Unfortunately, sometimes a job is misplaced and cannot be immediately found when the customer is in to pick up. Typically, the job is found right away but there are occasions when they cannot be found in the usual paces. In this case, the repair manager is to be told immediately so that they can gather all the relevant info and help to find the job. If the repair manage is not available, or not in, than inform the COO who can then take over the search.

Here are suggestions to help recover the job as quickly as possible:

  1. Check the job notes. This will help determine to where the job was last routed.
  2. Look through all of the finished boxes in case it was misfiled.
  3. Check to see if the last name on the account has been changed. Also, check for the maiden name of the spouse or significant other.
  4. If name/information is correct, search all jewelry repair boxes.
  5. Check to see if a salesperson or sales assistant has taken the job.
  6. Check stock job box in Inventory.
  7. Look in repair safe.
  8. Look through main safes.
  9. Go through all watch repair boxes.
  10. Go through Nam and Matt’s boxes.
  11. Check the trashcans and desks of the repair area.
  12. Check client’s contact log to see if there is any relevant info.
  13. Check with receptionist, jewelers, salespeople, and admin to see if anyone remembers anything about the job.
  14. If all job names have been checked, then all jobs must be opened and checked against the description to see if their item was accidentally added to another job.

If the job is not found right away and the customer is waiting, we should offer to deliver it to them as soon as it is found. If it is not found at all, than the repair manager is to let the COO know so that an all-hands search can be conducted and/or security camera videos checked to track it down.

It is very rare for the job to just disappear forever so don’t hesitate to do an entire second and third search of the same areas.
