We get around 4,000 new names added to our mailing list every year through our marketing efforts. Half of those people are not really customers and just asked to be on for a free catalog or promotion material, but they never really had intent of buying.
Therefore, we have to go through and weed out the inactive customers by sending an Off Letter. A note is made in their customer file that an Off letter was sent, and the contact key “mailings off” is checked.
The criteria for sending this letter are if the customer has been on the mailing list for more than 2 years and they have never purchased anything from us.
The letter reads:
Dear Joe,
I hope that you have enjoyed receiving my newsletters and flyers. But according to our records you have never made a purchase from us. Is that correct?

If you are no longer interested in our merchandise we can save trees by no longer mailing to you. Should I keep you on out list?
____ Yes
____ No
If you wish to remain on our mailing list, I will send you a $100 gift card for our store for simply telling me what it is you are interested in and when we might help you with it.
Answer briefly on the back of this letter, then refold it and mail it back to me postage-paid.
Your $100 gift card will be sent back immediately.
