In order to accommodate the needs of certain employees for more time off than is allowed in our regular schedule, we have created a category of employment referred to as “flexible schedule” employees.
Flexible schedule employees work from 20 to 50 hours or more per week as necessary, are entitled to take unpaid time off with prior approval, and are not entitled to any paid or partially paid benefits such as paid holidays and PTO.
Any time that is taken off is unpaid time off. All unpaid time off must be requested and approved in advance through the usual channels. Time off is a privilege and not an absolute right; be sure to follow the proper procedure for requesting time off before assuming it will be granted. See “PTO CSW for Time Off” policy for information on how to request time off. Note that although we always try to approve time off whenever possible, it may not be possible to approve time off if it would leave us shorthanded at busy times.
Because December is such a busy month, no unpaid time off will generally be approved during this time. Exceptions may be made in case of medical issues; please CSW to inquire.
Because we depend on everyone to be here doing their jobs for us to succeed, we must limit the total amount of time off that any one person would take per year. Employees that accrue PTO have a schedule that dictates how much time off is allowed per year. For flexible schedule employees, the limit per year is set at 50 hours total. Any unused portion of 50 hours does not roll over to subsequent years, and every year the allowance is reset to zero on January 1.
For new hires and new flexible schedules, the 50 hours is prorated from the date of hire or transition.
Unpaid time off is allowed for regular schedule employees immediately following Christmas; this allowance is for those employees who do accrue PTO and would not be added to the 200 total allowed hours of unpaid time off for flexible schedule employees, although flexible schedule employees are welcome to request unpaid time off during this period.
In addition, flexible schedule employees are not eligible for copayments for health, dental, or any other cosponsored insurance; however they can sign up for insurance coverage on our group plan and pay the premiums out of pocket (using our pre-tax system).
Flexible schedule employees can participate in the FSA program.
Flexible schedule employees are subject to the same attendance policies as standard schedule employees, and earn incidents in the same manner.
Flexible schedule employees that do not accrue PTO get 40 hours of paid sick days per year. The hours are awarded at the beginning of each year, and unused hours expire at the end of each year. For new hires or new flexible schedules, the 40 hours are prorated from the time of hire or transition.
Unused sick days do not accumulate value and are not paid out upon termination of employment. Flexible schedule employees do not need a doctor’s note for paid sick leave due to illness. Once the 40 hours of paid sick leave is used up, if the employee calls in sick, a doctor’s note will be required or it will be considered one or more incidents as detailed in the PTO policy.
The amount of sick leave that will be paid is equal to the number of hours that the employee was scheduled to work. No sick leave will be paid for hours or days that the employee was not scheduled to work.
Flexible schedule employees are not eligible for paid bereavement leave.
