It is the responsibility of anyone who deals with a customer to make sure that their address and all of the below information is correct and up to date.
This is usually done at the point where the invoice is created. It is VITAL and MANDATORY that the address and phone numbers are verified at the time the invoice is written.
But it could be done anytime during your interaction with the customer.
If you are sure that the customer is not going to buy on this visit to the store, you would check their file before they leave to update it.
This is a checklist of information that should be in each customer file. There could be other things but this would be a minimum in order to have the most opportunities to effectively sell.
Number one is BOLD because this is how we gain future business and is very important.
Anniversaries, Birthdays for both significant others. Verify that the man‟s and woman‟s are in the right place as they get mixed up sometimes. In many cases, both partners are customers. In this situation they should have separate files. Each file should reference the other.
Correct phone number, daytime
Correct phone number, nighttime
Correct cell phone number
First and Last name
Complete and correct address to home and work. (Having one is acceptable, having both is better.)
Make sure the Contact Key “Mailings Twelve” is checked along with any other Contact Key that applies to this customer. (Hot?)
Salesperson is filled in
Contact Source field filled in correctly and exactly
Wish List filled in (current interest and verify if old interest is still valid)
If a customer is taken off or put back on the mailing list, or if their address has been deleted or updated, a note should be made in the Contact Log stating so.
There should be as much data as you know or can get that gives us a reality on the person. The kind of car they drive, kids’ names, what they do for a living, what their sig other does, hobbies, pet’s name, favorite beer, etc. This gives the salesperson or a letter writer a much better “picture” of who they are dealing with. Any new data you get goes into the file the same day that you get it.
If they are a “hot prospect” the most important information that the file should have is the answer to this question: “What do they want to buy and when?”
